NextPage® Introduces New Document Retention and Deletion Research to Support More Effective eDiscovery Strategies at THE GLOBAL COUNSEL FORUM
Business Wire, Sept 14, 2006
DRAPER, Utah -- Survey Reveals Majority of Document Retention and Deletion Policies and Solutions Are Not Working; NextPage to Offer eDiscovery Guidance Relevant to In-House and General Counsel
NextPage today announced it will unveil new Document Retention and Discovery Research to support more effective and efficient eDiscovery strategies at THE GLOBAL COUNSEL FORUM in New York City, September 14 - 15. An increasing number of law firms and corporate counsels are tackling compliance, eDiscovery and document retention and deletion issues. Using technology to efficiently manage and discover electronic documents throughout their useful lifecycle, from creation to destruction, is quickly becoming a business imperative.
"Companies' General Counsel and CIO's are looking for viable solutions to reduce the risk of non compliance and the costs of eDiscovery. They are finding that the best way to tackle the problem is long before the need for eDiscovery," said Darren Lee, President and CEO of NextPage. "Sixty-two percent of companies have a written document retention policy, but only 31 percent of those companies actively enforce the policy. By deploying NextPage 2 Document Retention, the documents now become appropriately known, or 'discovered' and can be tracked from document creation forward."
Implementing an effective document retention and deletion program, a critical element of compliance and efficient eDiscovery, is proving to be a serious challenge. According to a recent survey commissioned by NextPage of 108 IT professionals:
--One-third of the companies surveyed did NOT have a document retention policy in effect
--While two-thirds of the companies surveyed DO have a document retention policy in effect, almost half of them don't actively enforce it
--A troubling majority--61 percent--said employee cooperation in adhering to document retention and deletion policies was less than 50 percent
"While this survey demonstrates that the majority of companies have recognized the need for and have implemented documents retention and deletion policies, companies are having a difficult time making them work," said Mr. Lee. "This is largely because most approaches to document retention require the end user to change the way he or she works, which is a guaranteed way to ensure lack of end-user compliance."
NextPage offers strategies for companies to implement efficient document retention technology that functions within the way end users normally create, save, send and delete documents. This approach dramatically increases end-user compliance, helping companies more efficiently manage their documents and lower the costs of eDiscovery and the risks of non compliance.

About NextPage
NextPage delivers powerful document tracking services that enable enterprises to manage and control the risk of Microsoft Office documents on the desktop. With the patent pending document tracking technology enterprises can securely track the more than 7.5 Billion Office documents that are sent as e-mail attachments, stored on users' desktops and removable media or saved to centralized servers. The NextPage 2 Document Retention service increases document retention compliance, as the only product that lets organizations apply retention policies to versions on the desktop by purging working copies and posting final versions to a central server for archival and lifecycle management. And the NextPage 2 Document Collaboration service solves the version chaos problem by providing an audit trail of what is happening to documents, including who has opened, is editing, has the latest version, where those versions are stored, and what needs to be done next. The NextPage products reduce the cost of document eDiscovery, prevent wasted time tracking down document versions and reduce the risk of documents.
